Requesting Google Groups in a Domain through Apps Script

During a recent Google Apps migration project, we received several requests to create custom groups of contacts so that users could more easily email frequent collaborators. Before switching to Google Apps, users created their own private distribution lists — but this approach led to overlapping groups that quickly fell out of sync.

The problem was a perfect case for Google Apps Script. We built a great solution that gives users as much power as possible with just a quick administrator review.


The situation before: either manually adding each contact or using a private contacts group.


Solution overview

To start the process, a user adds a specific label to a Gmail message. A script that runs on a timed trigger then generates a request to create a group for all the addresses in the message. The script writes this data to a spreadsheet that tracks group names and administrator approval.

Handling the request

Once the request has been processed and written to the spreadsheet, the script sends the user an email that asks her to suggest a name for the group in an Apps Script web app. A second email asks the administrator to visit the web app to approve or decline the request. The results are again stored in the spreadsheet.

The spreadsheet contains a second script, which is triggered for each modification. Once the script confirms that the request has been approved, it uses the Apps Script Domain Service to create the new group.

The result after successfully running the script.

This solution provides a simple way for users to request new Google groups, without all the overhead of manually creating an admin-managed distribution list.

Q Why Silence A Priming

Im a big fan of using silent brainstorming in order to generate ideas as individuals before processing those ideas as a group. "Priming" is yet another reason why using silence is important.

System 1 & System 2.
(Not to be confused with Thing 1 and Thing 2)
Im currently reading Daniel Kahnemans book "Thinking, Fast and Slow" - a behavioural psychology and economics book that describes his research on how our mind thinks. In the book, Kahneman describes the two systems that make up how we think. System one is the unconscious, fast, intuitive, relational thinker. System two is the conscious, slower, lazier, and more logical thinker. For example, when I ask you what 2+2 is, system one jumps in and gives you the answer of 4. When I ask you what 453 * 23 is, system two jumps in to help you calculate the answer.

One of the experiments that Kahneman describes demonstrates how you can prime system one and influence its answers. The experiment asked people to look at one word and then fill in the blank in a subsequent incomplete word. The first word they were shown was either "Eat" or "Wash" and the second incomplete word was "So_p". When shown "Eat", system ones relational thinking kicked in and people more often said "Soup" for the second word. On the other hand, when shown "Wash", system one more often produced the related word "Soap". Showing the first word to the participants primed system one and influenced it to think of a second word that was related to the first.

So, if you start a brainstorming meeting with "What can we do better? My idea is [X].", you have now primed people to think about [X]. However, if you let people generate ideas on their own first you will start with a larger base of ideas to work with. Once people have written down their own ideas [X,Y,Z], saying those ideas out loud will allow system one to find relational words on the whole set rather than just one idea.

Generate ideas in silence, process the ideas out loud.

ICE Breakers A Fish That Barks and The Moonwalking Bear!




When the cat reaches the fishbowl, then pause the video and ask your Students/Participants (S/P) to figure out what happens next. Most likely you will get S/Ps attention, and stimulate their minds to think creatively about what happens next in a competitive but enjoyable way. If you break S/P up into groups, and then give each group say 2 minutes to come up with their answer, you will get collaborative fun.



WARM UP S/P FIRST, OR THEY WILL ________!
Using short videos found on the Internet as icebreakers to stimulate thinking and help people to get familiar with each other in new situations and environments is today easier than ever, because of the millions (I mean billions!) of videos freely available on sites like YouTube.

More importantly, before you engage your S/P to learn and interact with the subject matter in a face-to-face session (or online session), it is important to warm them up first, or awaken them from their sleep (or whatever they are doing/thinking). It is obvious in sports that we need to warm our relevant muscles before playing a particular activity; otherwise the likelihood of getting injuries increases significantly. Though, strangely enough not all lecturers/educators/facilitators apply this common sense idea to learning. Lets not forget that our Brain is also a muscle that needs to warm up too, or it would probably fall asleep (not literally!), or be in another dimension beyond the subject paradigm.



AWARENESS TEST



Remember to pause after the first scene when the passes have been made, and then ask How many passes does the team in white make? Most S/P will probably answer correctly, and then you ask Did you see the Moonwalking bear? And unless they have already seen this video (12+ million have already on YouTube alone!), they would have ignored that particular incident. Although, this is labelled as an awareness test, it is also a great short video to warm up students minds before getting them busy with the subject matter.



IMPORTANCE OF LANGUAGE SKILLS





This one is a classic, which I commonly use to emphasize the importance, relationship, and connection of language with understanding and thinking. Instead of being really serious about it, and making people uncomfortable when talking about such matters, you could use videos such as the one above to make a point (that probably sticks better, too).




I have watched this scene (above) from The Pink Panther 2 a bazillion times, but I still laugh every time I watch it. I have used this video in several workshops to indirectly encourage S/P to work on their English accents as that might hamper their communication with others (e.g. lectures and discussions), and that new accents can be learned (although it could take time).

These are just four examples of using short videos (less than 5 minutes) found on the Internet to stimulate S/P to think, and break down communication barriers. The best part is that there are thousands, if not millions of freely available videos ready to be plucked from video sharing sites.

Mediasite com Linking you to a World of Expertise

MEDIASITE.COM?

Mediasite.com (beta) is a rich media search engine that automatically indexes publicly-available webcasts recorded with Mediasite. It provides you with a directory of presentations created by hundreds of experts around the globe. It is about connecting smart people with people who want to get smarter (and of course promoting Mediasite technology! Why not?).

JUICE?
Actually, I am not too impressed with the technology behind Mediasite (please forgive me for my limited expertise!), including the compression and streaming technology, interface design, and simplicity. Perhaps, they could learn a few tricks about interface design from Articulate. Hmm, I suppose I will increasingly appreciate this technology as I experience and learn more about it :)

However, I really like the Mediasite.com repository, which automatically indexes publicly-available (Free!) webcasts recorded with Mediasite. In other words, if you are looking for free presentations developed using Mediasite, this is the best place to find (or search for it!). Currently, there are more than 12,200 publicly-available presentations (or 9,138 hours of audio) to engage with and learn from. These numbers will surely grow! Mark my words! However, if you dont have broadband, you are probably going to struggle to enjoy the wealth of knowledge, expertise and wisdom that is hidden in this treasure (and experience buffering galore!).

For the fun of it, here are a few potential gems I managed to discover after one search (Learning) :

  • New Strategies for E-learning Design: Harnessing Technology for Flexibility and Engagement
  • From Database to Teaching Commons: Extending Learning Object Repositories
  • TLC Presentation - Teaching Philosophy

  • TCEA 2005 Conference Session: Introduction to Interactive Thinking Tools

In general, I really like Mediasite.coms rich media search engine (technology!), which even allows you the search within the presentation, identifying those slides that include your search inquiry. It will also display thumbnail screenshots of these slides, and you can simply click on them, and then you will be directed to that section of the presentation. Excellent! It saves us time to locate the juice, when necessary!

Finally, I am predicting that in the near future (Say 2008!), we will be able to experience a user-friendly rich media search engine that automatically indexes publicly-available webcasts, and does not discriminate between the rich media solutions or technologies (includes Mediasite, Articulate, and Breeze presentations, etc.). Does such a search engine already exist?

Creating a Flex AIR text editor Part 62

Today we start working on the Search/Replace feature for our text editor.

I decided that the feature should be located in the side bar as the fourth tab - the panel will contain a field for search text input, a few settings checkboxes and another text input field for replacing search results. A button is needed for the replace field, but only there - the search itself will be performed real-time as the user types into the search text field.

First lets add this new NavigatorContent entry in ViewStack component, populate it with some controls that dont do anything yet:

Now, lets create a function called doFind(), which will be called to open the sidepane and the find/replace tab specifically:

And thats pretty much it. Now you can go to the find/replace panel by manually opening the side panel and opening the fourth tab, or by using the button on the tool bar, or through native menu, or just using Ctrl+F combination.

One more thing that we can do is apply focus to the search text area when the find tab is opened. Add a change event listener for the ViewStack:

Creating a Flex AIR text editor Part 16

In this tutorial we will add a right click context menu specially for the tabbar, with options like Close tab and Close other tabs.

First of all, we will need to create the context menu with all its items. We do this by declaring variables in the init() function. We need to create 2 ContextMenuItem objects, "Close tab" and "Close other tabs", as well as add event listeners for both of them and set tabContextClose and tabContextCloseOther functions as handlers.

After that we create a new ContextMenu object and set its items property to an array consisting of these two context menu items. We hide the default menu items using the hideBuiltInItem() method, then we apply this object to the contextMenu property of our tabBar. Finally, we add a right click listener for the tabBar itself (Ill explain later what for) and add a handler function called tabRightClick.

We need to listen to the right click event, because this way we can find out the index of the tab that we are going to perform the action on. We can calcluate the index knowing the width of each tab, number of tabs and the position of the mouse on the tabbar control. We can then story this index in a variable called rightclickTabIndex. Lets declare it first:

So I got a new toy

The Intro


After much debate and soul searching over what monitor to get, a nice deal that suddenly popped up made my decision easy. Of course, this 150 page thread - full of raving reviews and mouth watering images - on HardForum helped too. On Wednesday night, I ordered a Westinghouse LCD TV from newegg. On Friday afternoon (newegg is amazing!), it arrived at my house and the fun began.

The Experience


So what is it like using a 37" TV as a computer monitor? I tried to take some pictures, but believe me, they hardly do it justice. You just have to see it in person to get a true feel for how huge this thing is and how incredible images, movies, games, etc look:

The Review


I use my computer for a little bit of everything:

  • Browsing the web & email
  • Productivity apps (Word, Excel, etc)
  • 3D games (Call of Duty 4, Medieval II: Total War, Half Life 2, Hitman: Blood Money)
  • Movies (DivX, DVD, HD)
  • Photo editing
  • Programming

In other words, I put this monitor through the gauntlet of tests and I have to admit, Im impressed.

Pros/Cons

(+) Huge. 37" is an awesome size for a monitor: its jaw-dropping big, but not so big you get a headache using it.
(+) Amazingly crisp image. Everything on this 1080p screen is very detailed and sharp, including text, images, movies, etc.
(+) Gaming and movies get a huge benefit from this big screen.
(+) Surprisingly, even text benefits from the screen: the high resolution allows the text to be exceptionally crisp, and the large screen size allows it to be big, so you reduce eye strain.
(+) Tons of inputs. The PC inputs - DVI and VGA - are especially nice as they let you use this screen as a computer monitor without any converters.
(+) So far (knock on wood) this thing has been problem free: no dead pixels, no noticeable backlight bleeding, no ghosting.
(+/-) Viewing angles are very solid. You can see a very slight change in brightness when you view it from a large angle, but youll only notice it if youre really paying attention.
(+/-) Very bright backlight. Its too bright for monitor use, but it can easily be turned down to acceptable levels.
(-) No tuners. This monitor is cheap because it has absolutely no tuners, so you cant connect it directly to your cable. Youll need some device (cable box, DVD player, computer) in between to decode the signal.
(-) The black levels are only average. At this price range, they are more than acceptable, but more expensive screens are able to produce much richer darks.
(-) The colors are only average. Again, at this price range, they are more than acceptable, but more expensive screens are able to produce colors that have more depth and pop.

Summary

As a computer monitor, the Westinghouse is an incredible value. For a great price, I got a massive screen that totally changes my movie watching and gaming experience. To my great surprise, all text related activities are improved as well: its remarkably nice to have large, crisp text in every application.

Of course, not everything is perfect. Im upgrading to the Westinghouse from a Sony FW900, one of the best CRTs ever produced. As such, Im used to a screen that can produce perfect black levels and amazing colors. No, the LVM-37w3se cannot produce the kind of black levels and rich colors Im used to. And yes, there are more expensive LCDs out there that can do better. However, the differences are not that dramatic and have little impact in day-to-day usage.

Overall, I think the sheer size of the Westinghouse as well as the crispness of the images & text make up for all of its shortcomings. You just cannot place enough value on the way such a big screen changes your computer experience.
